It is important, therefore, to choose machines suited to the work required to be done, and not to be influenced by enthusiastic, young sales persons into taking a machine which is unnecessarily sophisticated. In most offices the bulk of photocopying is done in the range of 1 or 2 copies per original, although the occasional long run of, say, 100 copies can cause managers to assume that the most frequently occurring run is much more than 1 or 2. It is interesting to note that, if there is a real need for frequent long runs, a- photocopier is not necessarily the cheapest way to produce them. A small offset litho machine, working from originals printed on a paper plate, is a cheap and efficient way of producing price lists, circulars, forms, instruction sheets, etc.

Using an offset machine can also save printers' bills and give you control over when you receive your finished work. Some printers are cheap, reliable and prompt. Others are not, and having your own in-house printer/ scanner/ photocopier can be a useful contribution to efficiency and profit.

However, if you intend to stick with a photocopier, do consider very carefully the total number of copies you will take each month. In the past the supplier's note was usually made up for a rental charge and a copy charge. The number of copies was recorded on a meter and the note prepared accordingly. This method has been dropped in recent years and most suppliers now apply a 'maintenance charge'. This charge is also linked to a meter which records the number of copies taken.

Varying arrangements cover the 'maintenance charge', which normally starts to increase after a certain number of copies have been taken. The number of copies which triggers off the higher charge varies from one type of machine to another, and it is vital to know what situation you are faced with A similar analysis should be made before taking on a shared-printer to ensure that the best deal is being obtained. Existing printer contracts should also be re-examined to see if savings can be made by giving notice and changing machines.

Some of the options to consider are a. Asking your supplier to change your machine to another in his range which suits you better; b.

Changing to another supplier who can provide a more suitable machine; c. Buying a small machine outright if your copy volume is modest Watch the maintenance costs; and d. Using an outside print-shop for the occasional long run and the local library for the odd single copy.

Whatever you do should be carefully costed and worked out on the basis of cost per copy.
